Your Marketing Got the Phone to Ring. But Did Your Team Lose the Patient?

Dentists, here's a question worth asking: How many potential new patients call your practice every month, hang up without scheduling, and never get mentioned again?

You may be spending thousands of dollars on SEO, Google Ads, and other marketing efforts to attract new patients. But what happens after the phone rings can make or break that investment.

I recently listened to a new patient call that really stuck with me.

Last year, our team at Firegang Dental Marketing recorded and audited more than 86,000 new patient calls from dental practices across 47 states.

One practice stood out because its new patient call conversion rate was hovering around just 30%.

What surprised me was that this wasn't a struggling practice with an unfriendly front desk. They had excellent doctors, a wonderful team, and employees who were genuinely polite, professional, and empathetic.

So why weren't more callers scheduling?

One Phone Call Explained a Lot

A mother called the practice because her six-year-old daughter had fallen while running up the stairs and pushed her tooth into her gum.

Naturally, the mother was frightened and looking for guidance.

The front desk employee answered kindly and expressed concern. But when the mother asked what she should do, the response was:

"I think you should call the dentist."

There was a pause.

The mother thanked the employee and hung up.

Just like that, the opportunity to help a potential new patient was gone.

I share more about this experience in a short video here:

The Problem Isn't Always Your Marketing

Here's what I want dental practice owners to understand.

Your front desk can be friendly, professional, and genuinely care about patients while still missing opportunities to get those patients scheduled.

This isn't necessarily about hiring better people. It's about making sure your team has the training, confidence, and processes to handle different types of patient calls.

And there's a big difference between answering a phone call and guiding someone toward an appointment.

When a potential patient calls with an urgent concern, they need reassurance, clear next steps, and help connecting with the appropriate clinical team.

If your team isn't prepared for those conversations, you could be losing patients your marketing dollars already paid to attract.

Are You Measuring the Right Things?

Many dentists track website traffic, Google rankings, advertising leads, and how many calls their marketing generates.

But how many are regularly reviewing what happens during those calls?

Are callers getting scheduled? Are their concerns being addressed appropriately? Are opportunities being lost without anyone realizing it?

Sometimes the fastest way to improve practice growth isn't spending more money to generate leads. It's identifying what's preventing existing opportunities from becoming scheduled appointments.

If you're unsure where your practice stands, a complimentary Practice Growth Assessment can be a helpful starting point for identifying potential gaps in your patient acquisition process.

I'd Love to Hear From Other Dentists

Do you regularly review new patient calls at your practice?

And do you know what percentage of those calls actually turn into scheduled appointments?

I'm curious how other practice owners are approaching call conversion and front desk training.
