Northport, NY – October 11, 2004: The built-in Marketing Reminders feature of ADSTRA Systems’ practice management software, Practice Made Perfect makes it easy for dental professionals to track patients from treatment plan to appointment. This unique feature automatically tracks and follows up on key practice-building information such as treatment plans, missed and cancelled appointments, upcoming birthdays, and overdue bills. There are 11 individual marketing reminders that can be chosen and automatically generated by Practice Made Perfect by corroborating data from the appointments book, treatment plans, lab case logs, and the personal file section of the program. The reminders make it easy for a practice to track and follow up on items that could easily be missed in a busy practice.
If a case needs to get a predetermination from an insurance company before a treatment can begin, a Treatment Plan without Predetermination reminder is generated to alert the staff that the insurance company needs to be contacted prior to the patient coming in. Should there be an existing treatment plan but no appointment booked for the patient, a Treatment Plan, No Appointment Made reminder is sent so the patient follow-up can be completed. A Predetermination Received, No Appointment Made reminder is created if a response from the insurance company has been received regarding predetermination but no future appointment has been booked for the patient. For patients who are overdue for an appointment or should have an appointment in the near future, a Continuous Care (Recall) Appointment Due report is produced so follow-up phone calls can be made. A Lab Case Missing report will be generated the day before an appointment if the lab case has not yet been received, allowing time to call the lab and, if needed, to reschedule the patient. If a patient has missed or cancelled a treatment appointment or if he or she has missed a continuous care appointment, a Missed/Cancelled Treatment Appointment or a Missed Continuous Care (Recall) Appointment reminder will be created and the office can follow-up.
For the Accounts Receivable department, an Account Receivable over 60 Days reminder will automatically be produced for outstanding balances. The program also automates such marketing tasks as sending a thank you for a referral (Referral Thank You) and producing labels for all patients with upcoming birthdays (Birthday). A Send Welcome Package reminder is created to alert the office that a welcome kit needs to be sent to a new patient.
The office has the option to choose to activate one, two, or all 11 marketing reminders. They also have a choice of what type of reminder to send, which includes postcards, emails, or letters. Each communication can be sent to an individual, a group, or to the entire database. In addition, the office can easily create its own text and customize every outgoing message.
